MOQ, Lead Time and Payment Terms for LiFePO4 Orders

Quick Summary: MOQ, lead time and payment terms are three separate negotiations, and a bundled quote hides where the risk sits. MOQ follows the parts you change; lead time starts at specification sign-off and deposit; the balance should release against a document you can check. A 48V 150Ah rack is 7.2kWh.

MOQ is a per-part number, not a per-company number

A LiFePO4 MOQ is set by the part that changes, not by the size of the supplier. A label change on a 12V 100Ah LiFePO4 pack keeps four cells, one 100A BMS and one 1,280Wh test file, so only the print run is new. A case change needs a mould and a trial shot, and a cell or BMS change needs fresh test evidence.

Ask for the minimum in three lines: per model, per change, and per container. A supplier who answers with one number for the whole catalogue has either quoted a stock model and called it custom, or has not costed the setup your configuration adds.

Change What it triggers Who carries the setup What to ask
Label Artwork and print setup Buyer, usually inside the unit price Minimum print run per label
Carton Print run and drop test Buyer Minimum carton quantity
Terminal Harness and torque check Shared Whether the terminal is a stock part
BMS Parameter file and validation Shared Whether the firmware is standard or custom
Cell Purchase lot and test evidence Factory, with a minimum lot Cell brand, grade and lot size
Case Mould and trial Buyer Tooling cost and ownership

The MOQ line in a quotation should name the configuration

An MOQ line without a unit and a model is not an offer. A quantity has to attach to a 7.2kWh rack module, a 4S 12V pack or a carton count before it means anything. The line should state the quantity, the model code, the configuration and the validity period.

Read that line against the BOM. If the quote states a unit count and the BOM lists a custom BMS, ask whether that BMS is already in stock. The answer decides whether the minimum is real or borrowed from a standard build.

Quote line Weak version Strong version
Quantity MOQ with no unit or model A stated unit count for model X, 4S 100Ah, standard BMS
Configuration Custom Label change only, cell and BMS unchanged
Validity Blank Price valid to a stated date
Tooling Included Mould owned by buyer, stored at factory
Test evidence UN38.3 available Summary naming model X and the applicant

Lead time starts at deposit and specification sign-off

A lead time quoted in days means little without a start date. The clock starts when the specification is frozen and the deposit clears, because the factory cannot place the cell order before both. The enquiry date, the sample date and the production date are three different dates, and a quotation that gives one number for all three is hiding the schedule. On the 48V 150Ah module, the 482 × 440 × 178 mm case and the cell lot are fixed only after sign-off.

Break the schedule into five stages and ask for a date on each: specification freeze, cell purchase, assembly, aging and test, packing and booking. The buyer controls the first stage and the artwork approval. The factory controls the middle three. The forwarder controls the last one, and the lithium battery import guide lists the documents that travel with it.

Stage What happens Common delay Document to ask for
Specification freeze Drawing, BOM and BMS parameters signed Late sample feedback Signed specification sheet
Cell purchase Cells ordered to the agreed brand and grade Cell lot availability Cell purchase record
Assembly Welding, BMS install, case close Missing connectors or labels Production traveller
Aging and test Capacity, internal resistance, cutoff checks Retest after a failure Batch test report
Packing and booking Cartons, pallets, container slot Peak-season space Packing list and booking note

Container fill sets the floor for a first order

A 20ft container holds 33.2 m³ and a 40ft high cube holds 76.3 m³, measured inside the box. A 48V 150Ah rack module measures 482 × 440 × 178 mm, which is 0.038 m³ before packing, so a 20ft container holds about 879 units by volume alone and closer to 750 after pallets and carton loss.

That arithmetic explains why the number a buyer cares about is often a container, not a carton. A first order that mixes three models can fill a 20ft box while each model sits below its own MOQ line. Ask the supplier to quote the container plan, not just the unit quantity.

Container Internal volume 48V 150Ah units by volume Realistic after packing
20ft 33.2 m³ about 879 about 750
40ft high cube 76.3 m³ about 2,020 about 1,720

Payment terms move risk, not price

A payment term decides who funds the cell purchase and who carries the risk if the shipment is late or wrong. The structure matters more than the percentage. The lithium battery manufacturer guide describes the common first-order pattern: “Normal first orders run 30-50% deposit, balance before shipment. Small orders often go 100% in advance. Bigger amounts sometimes get letters of credit.”

Each structure fits a different order. A deposit protects the factory’s cell purchase on a custom build. A letter of credit protects the buyer on a large order but adds bank steps and document checks under UCP 600. Open account moves the risk to the seller and usually carries a credit cost that appears in the unit price.

Term Who carries the risk Fits Document to check
100% in advance Buyer Small or stock orders Proforma invoice and business licence
Deposit and balance Shared Custom first orders Deposit receipt and inspection report
Letter of credit Bank, against documents Large orders with a new supplier L/C draft and UCP 600 terms
Open account Seller Repeat orders with credit insurance Credit limit and insurance cover

The balance should release against a document you can check

The payment trigger matters more than the split. A 30% deposit leaves 70% outstanding, and that 70% should release against a document, not a promise. A balance released against “photos from the warehouse” gives the buyer no control. A balance released against a pre-shipment inspection report and a bill of lading copy gives the buyer something to check before the container leaves.

Name the inspection scope in the purchase order: quantity, serial range, cell markings, BMS model, capacity test record, carton labels and photos of the loaded pallets. Pay the deposit to the company account named on the invoice, never to a personal account.

Order timing around Chinese New Year and Golden Week

Chinese New Year 2027 falls on 6 February, and the National Day Golden Week runs from 1 to 7 October. Chinese factories slow down before the Spring Festival as workers travel, and many close for the holiday itself. An order that needs production before the break has to clear specification and deposit before the pre-holiday queue builds.

The calendar matters most for a first order, where the sample stage and the test stage both sit before production. A repeat order with a frozen specification and a stock BMS moves faster, but it still competes for the same line time in the weeks before the holiday.

What to fix in writing before the deposit

The purchase order should carry 11 lines: model, configuration, MOQ basis, unit price basis, Incoterm, lead time start date, stage dates, payment trigger, inspection scope, warranty terms and spare-parts list. With those in writing, the order stops depending on memory.

Add a change-control clause. A change to the cell, the BMS, the case or the label should trigger a written notice and a new date, not a verbal promise that the schedule still holds.

Frequently asked questions

What is a normal MOQ for LiFePO4 batteries?

There is no single number. It depends on the model and on the parts you change. A label change on a stock model carries the smallest minimum, a new case carries the largest. Ask for the minimum per model and per change in writing.

When does the lead time start?

When the specification is signed and the deposit clears. Before that point the factory cannot order cells to the agreed grade, so any date quoted earlier is an estimate rather than a schedule.

Is a letter of credit better than a deposit?

It depends on the order size and the relationship. A letter of credit costs bank fees and requires exact documents, but it protects both sides on a large first order. A deposit is simpler and cheaper for a small custom build.

Can I mix several models in one container?

Yes. Each model still has its own MOQ, but the container is filled across models. Ask for a container plan that shows how many units of each model fit, and check the weight limit as well as the volume.

Which payment terms should I refuse?

Full payment before production to a personal account, and a balance released before any inspection. Both remove the buyer’s control. A company account, a written invoice and an inspection report are the minimum safeguards.

Does a larger order always cost less per unit?

Unit price usually falls with volume, but cell grade, BMS model and packaging change the curve. Ask for a price break table by quantity, and compare the same configuration at each step.
